Zoom integration

Connect each meeting host's Zoom account so Superpractice can create booking rooms and send an authorized Meeting Agent into the host's Zoom meetings.

What the integration does

One room per booking

When an event type uses Zoom, Superpractice creates a unique scheduled meeting on the selected host's Zoom account and puts the join link on the booking.

Authorized meeting capture

The Meeting Agent joins on behalf of the connected user after that user is present, then produces the recording, transcript, and post-call report enabled for the firm.

Changes stay in sync

Moving a booking updates its scheduled Zoom meeting. Cancelling the booking removes that generated meeting.

Per-host authorization

Each host authorizes their own Zoom account and can disconnect it at any time.

Before you connect

  • An active Superpractice user account.
  • A Zoom account you are authorized to connect.
  • Pop-ups or redirects from app.superpractice.com must be allowed during authorization.
  • For a team, every person who hosts Zoom meetings should connect their own Zoom account.

Zoom authorization itself does not require a paid Superpractice add-on. Zoom account features and meeting limits still depend on the plan assigned by Zoom.

Add and authorize Superpractice

  1. Sign in to Superpractice.
  2. Open Settings, then choose Integrations.
  3. Find the Zoom section and select Connect.
  4. On Zoom's authorization screen, sign in to the Zoom account that hosts your meetings.
  5. Review the requested permissions and select Allow.
  6. Zoom returns you to Superpractice. Confirm the Zoom card shows Connected.

If your Zoom administrator requires pre-approval for Marketplace apps, ask the administrator to approve Superpractice before repeating these steps.

Use Zoom with Superpractice

Create Zoom meetings from bookings

  1. Open Booking and create or edit an event type.
  2. Choose Zoom as the location.
  3. Select a host whose Zoom card is connected, then save the event type.
  4. When a client books, Superpractice creates a unique Zoom meeting and includes its join link in the booking workflow.
  5. Rescheduling updates the same Zoom meeting. Cancelling removes the generated Zoom meeting.

Use the Meeting Agent

  1. Keep Meeting Agent capture enabled for the firm and make sure the meeting host has connected Zoom.
  2. The connected host joins the Zoom meeting first. Zoom requires that associated user to be present before an on-behalf-of Meeting Agent can join.
  3. Admit the Meeting Agent from the waiting room if the meeting's security settings require it.
  4. Participants can identify the Meeting Agent in Zoom and see the app association notice.
  5. After the call, open Booking → Meeting Agent to review the recording, transcript, summary, and follow-up report that your firm has enabled.

Recording and transcription must be used in accordance with the meeting notice, consent, professional-responsibility, and privacy rules that apply to your firm and participants.

Multi-user firms

Zoom authorization is per Superpractice user, not shared across the organization. Every host connects their own Zoom account from their own Settings page. A firm owner or administrator cannot authorize another person's Zoom identity for them.

When an event type uses a single host, choose that connected host. For round-robin or collective scheduling, connect Zoom for every eligible host; otherwise a booking assigned to a disconnected host falls back to the calendar provider's available meeting room instead of failing the booking.

Remove the integration

Remove it from Superpractice

  1. Sign in to Superpractice and open Settings → Integrations.
  2. Find the connected Zoom card.
  3. Select the disconnect icon and confirm Disconnect Zoom.
  4. Superpractice revokes the Zoom access grant and deletes its stored OAuth connection.

Remove it from Zoom Marketplace

  1. Sign in to the Zoom App Marketplace.
  2. Open Manage → Added Apps.
  3. Find Superpractice and select Remove.
  4. Confirm removal. Zoom notifies Superpractice, and the associated OAuth connection is deleted.

After removal, Superpractice cannot create, update, or delete Zoom meetings for that user, and future Meeting Agents cannot use that user's Zoom association. Existing event types remain in Superpractice; choose a different location or reconnect Zoom before accepting more Zoom bookings.

What happens to data after removal

  • The encrypted Zoom access token, refresh token, Zoom user identifier, and displayed Zoom email are deleted from the active integration record.
  • Short-lived Meeting Agent association tokens are never stored.
  • Previously created Zoom meetings remain subject to Zoom's own retention and account controls unless they were deleted when their corresponding booking was cancelled.
  • Existing Superpractice bookings, contacts, recordings, transcripts, and reports are not automatically deleted when Zoom is disconnected because they are part of the firm's Superpractice workspace record.

Troubleshooting

Zoom says admin approval is required

Your Zoom administrator controls Marketplace app approval. Ask them to approve Superpractice, then return to Settings and connect again.

The connection shows expired

Select Reconnect and complete Zoom authorization again. Zoom refresh tokens can expire or be invalidated by security changes.

The Meeting Agent did not join

Confirm the selected host connected Zoom, the host is already in the meeting, the link is a valid Zoom meeting URL, and the host admitted the Meeting Agent if a waiting room is enabled.

A booking did not create a Zoom room

Confirm the event type location is Zoom and the assigned host is connected. If the host is not connected, Superpractice falls back to the host calendar's available meeting room so the booking still succeeds.
