Closed days

Tell your voice agents which days the office is closed, so they put no calls through and tell callers when you reopen. Holidays, days you plan ahead, and closing on short notice.

What a closed day does

A closed day changes one thing: transfers.

On a closed dayWhat happens
Calls put throughNone. Not even when a caller asks for someone by name, or for people set to always take calls.
What callers hearWhen a caller asks to speak with someone, the agent tells them the office is closed today, why (the holiday or the name you gave the closed day), and when you reopen. Then it offers what it can still do, such as taking a message or booking a time.
Everything elseWorks as usual. Agents still book meetings, take messages, answer questions, and follow your plans for new clients, existing clients, and other callers.

Closed days apply to the whole firm and every voice agent. They never change booking: people can still book meetings on days your calendar allows. To take a day off from bookings, use Add time off under Booking > Availability. It blocks only your own bookings.

Who can change closed days

Owners and admins add, change, and remove closed days. Everyone else at the firm sees the page read only, with Only owners and admins can make changes at the top.

The page shows your firm's time zone next to its title. Every date and time on it is on that clock.

Holidays

Ticked holidays close the office every year, without anyone setting them up again.

The first time you open Closed days, choose:

  • Add federal holidays ticks the 11 US federal holidays. Untick any day you work.
  • Choose holidays shows the list with nothing ticked, so you pick each one.

The list also offers days many firms close that are not federal holidays: Good Friday, the day after Thanksgiving, Christmas Eve, and New Year's Eve. They start unticked.

Close early instead of all day. Click a ticked holiday's Closed cell and pick a time, such as Closes at 1:00 PM on Christmas Eve. Until then, agents put calls through as usual.

Observed dates. When a federal holiday falls on a weekend, the list shows the weekday it is observed. Hover over the date to see the day it falls on.

Switch between this year and next with the year buttons. This year's holidays that have already passed are folded under Earlier in the year.

Your own closed days

Click Add closed day. It has two tabs, and you use one or the other:

  • Quick close closes the office starting right now, for when something comes up. Add closed day opens on this tab.
  • Pick dates is for days you plan ahead, such as an office retreat, a training day, or a move.

Quick close

  1. Click Add closed day.
  2. Under How long, pick Today, 2 days, 3 days, or 1 week.
  3. Keep or change the Name. It starts as "Office closed". Agents say it when callers ask why you are closed.
  4. Check the line at the bottom. It tells you when no calls are put through, and when agents will tell callers you reopen.
  5. Click Close the office.

A quick close starts the moment you click. The rest of today counts as the first day. Days count working days, so a weekend or a holiday you already close for is skipped: 1 week is five working days. For a different last day, use Pick dates.

Pick dates

  1. Click Add closed day, then Pick dates.
  2. Give it a Name. Agents say this when callers ask why you are closed, so use words a caller understands, such as "Office retreat".
  3. Pick the From and To days. For one day, pick the same day twice.
  4. Under Closed, choose All day or Closes early and a time.
  5. Check the line at the bottom. It tells you when no calls are put through, and the day agents will tell callers you reopen.
  6. Click Add closed day.

To change or remove a closed day, click its row. Delete closed day asks once before it removes it. Closed days that have passed are folded under Past.

While the office is closed

Whenever a quick close or one of your closed days is closing the office right now, the page shows Office closed until, followed by when you reopen. All agents shows the same line with Reopen now, so nobody misses it.

  • Extend, on Closed days, keeps the office closed longer.
  • Reopen now opens the office straight away. Days that have already passed stay under Past.

You never need to turn it off. The office reopens by itself at the time shown.

On a ticked holiday the line does not show. To keep the office open that day, untick the holiday under Holidays. That changes every year.

Ask the assistant

The assistant, by chat or by voice, can tell you whether the office is closed and when it reopens. It can also close the office, add a closed day, change your holidays, and reopen the office.

  • Before it closes the office, it shows a card with the exact days and when you reopen. Nothing changes until you click Close the office or say yes. By voice, it names the day you reopen and waits for your yes.
  • Only owners and admins can approve. When someone else asks, every owner and admin gets the request, and the first one to approve it runs it.
  • Reopening never needs approval. After a closure, the chat shows Reopen now.

Connected AI tools can do the same, with the approval in Superpractice. See Connect your AI tools.

Weekly hours

Each voice agent keeps its own weekly hours. Closed days lists them read only, so you can see the whole week in one place. Click an agent to change its hours on the agent's Your firm step. See Set up a voice agent.
