What the LawPay integration does
Connecting LawPay imports every transaction from your LawPay accounts, matches each to the paying contact, and applies it to the right matter. Trust and operating accounts are handled the way legal accounting requires:
- Operating payments count as Collected on the matter immediately.
- Trust payments are held, not counted as revenue. When you bill against trust, apply the held funds to the matter and they move into Collected.
- Voided and failed transactions never count. A transaction voided after import is automatically removed from the matter.
- Recurring charges (LawPay scheduled payments) follow their schedule: place one and the rest follow automatically.
Superpractice only reads your LawPay data. It never initiates charges or changes anything in LawPay.
Connect LawPay
LawPay uses a secure key your firm creates once:
- Sign in to LawPay as an administrator.
- Open Settings, then find Developers (sometimes shown under Advanced settings).
- Choose Authorize Application and create a key. Copy it; LawPay shows it only once.
- In Superpractice, open Settings > Integrations, find the Payments section, and click Connect on the LawPay card.
- Paste the key. Superpractice verifies it and shows your LawPay accounts.
- Confirm which account is your trust account and which is operating. LawPay marks trust accounts, so this is usually pre-filled; you can change the designation later.
- Save. New payments import automatically from here on. To bring in your payment history, choose how far back to go next to the Sync button on the LawPay card (for example "Last 12 months" or "All history") and press Sync.
After connecting
The flow is the same as every processor: confidently matched payments place themselves; the rest wait in Needs review grouped by client, where one click places a client's whole history and teaches the system for next time. See Payments for how matching, Value, and Collected work.
Two LawPay-specific things to know:
- Held funds show on the matter under "Held in trust" and on the Payments page under the Held view. Applying them to the matter is one click when the work is billed.
- References matter. LawPay payments carry the reference your team types at charge time. Payments with a matter or client reference match more reliably, so a consistent reference habit pays off.
How LawPay payments find their matter
Every payment climbs the same ladder, from most certain to least:
- Anything definitive comes first. A payment already linked to a contact, checkout details, or a LawPay customer Superpractice remembers from a payment you placed before. Place one payment and the rest of that client follows.
- Then the payer's email, and then their phone number, matched against your contacts.
- Then the payer's name. This is the workhorse for LawPay. Charges are usually typed in by your staff and carry the client's name but rarely an email, so when email and phone find nothing, Superpractice matches the payer's name against your contacts. The name must match exactly, and it only counts when exactly one contact has that name. If two clients are named John Smith, the payment waits in review with both suggested. There is no fuzzy matching.
Finding the contact is only half the job. The matter is still chosen by the money: the payment must exactly fit one matter's remaining balance, or the client must have a single matter with a balance open. When several matters fit the same amount, the matter whose close date is nearest the payment date wins, and only within a tight window. Anything genuinely ambiguous waits in Needs review.
Two things make LawPay matching stronger:
- A consistent reference habit. When the payer's name is missing, Superpractice uses the name before the dash in the reference, so "Jane Smith - Trademark Application" still finds Jane.
- One-click contacts for new payers. Payers who are not contacts yet are common in LawPay histories. The review screen creates the contact from the payer in one click, then places that client's whole history at once.
Map recurring charges to services
LawPay does not have a product catalog, so recurring charges are grouped by their reference. In Settings > Integrations, open the LawPay connection's Map products to services panel and point each recurring reference at the right Superpractice service. Mapping is retroactive and keeps practice-area reporting accurate.
Troubleshooting
- Key rejected: keys are shown once by LawPay. If it was lost, create a new key from LawPay's Developers page and reconnect; your mappings and settings survive reconnects.
- Trust payment showing as Collected: check the account designation on the connection card; correct it and the classification heals on the next daily sync.
- A payment is on the wrong matter: open it and click Unallocate. It returns to review.
